Minimum Requirements
To be eligible for the position, applicants must meet the following requirements:
- Education:
- Grade 12 or equivalent NQF level 4 qualification.
- A BSc degree is advantageous but not compulsory.
- Experience:
- 0–1 year of relevant working experience.
Relevant Job Knowledge
Candidates should possess the following skills and knowledge:
- Basic computer literacy.
- Familiarity with laboratory information systems.
- Understanding of organizational policies and procedures.
Key Responsibilities:
As an Admin Clerk / Receptionist, you will handle a wide range of responsibilities, including:
1. Sample Handling and Distribution
- Administer sorting and distribution of samples according to standard operating procedures (SOPs) to ensure accurate and prioritized delivery to relevant laboratories.
- Process sample registrations (“logging”) and handle queries in line with SOPs.
- Dispatch specimens for processing, monitor progress, and ensure timely delivery of results.
2. Hospital Rounds
- Conduct regular hospital rounds to distribute reports and collect submitted samples.
3. Administrative Duties
- Address and resolve administrative queries and customer complaints promptly.
- Track sample deliveries by couriers to ensure compliance with SOPs.
- Investigate and resolve bottlenecks in pre-analytical laboratory processes.
4. Stock and Equipment Management
- Monitor stock levels and order necessary supplies to ensure continuous availability.
- Deliver stock to doctor’s rooms and ensure proper housekeeping of working areas.
5. Customer Interaction
- Represent the organization professionally by providing excellent customer care in the medical pathology field.
- Offer information and direct clients to the appropriate departments.
6. Financial Transactions
- Collect cash payments from patients and ensure proper banking in compliance with company protocols.
7. Data and Document Management
- Prepare and scan patient forms into the laboratory system (Oculus).
- Resolve incomplete scanning tasks following established procedures.
8. Compliance and Reporting
- Adhere to Lancet’s uniform protocols and standard operating procedures.
- Log incidents, handle customer complaints, and ensure compliance with laboratory policies.
